General Purpose: The primary responsibility of this position is to be the functional co-lead for the department of Pediatrics on the appointments and promotions process, the faculty on-boarding process, the Licensing and Credentialing process and Malpractice, with ownership of these processes for the department. Pediatrics is the 4th Largest Dept. in the Yale School of Medicine. The position will lead 14 administrative assistants from each section in these areas including distributing, coordinating and reviewing their work and overseeing and coordinating projects and work processes. This involves the overall ownership of each of these faculty affairs processes for the dept. This position handles highly sensitive and confidential information and matters requiring on-going interaction with the faculty, chair, deputy dean and various other high-level university officials. In addition, the incumbent will participate and lead key strategic initiatives to implement new processes and systems to streamline operations, eliminate duplication, and improve efficiencies in these areas. Required Education and Experience: Eight years of related work experience, six of them in the same job family at the next lower level and a high school level education; or six years of related work experience and an Associate's Degree; or two years of related work experience and a Bachelor's Degree; or an equivalent combination of education and experience. Qualifications: Demonstrated ability with faculty appointments and promotions, licensing and credentialing and Malpractice. Proven ability working in an academic environment, working among faculty and staff.Demonstrated ability to lead others across organizational lines to ensure program, projects and assignments are fully completed in a timely manner. Demonstrated advanced computer skills with proficiency in Outlook, Word, Excel, and PowerPoint.Demonstrated outstanding interpersonal and organizational skills. Excellent record of attendance and punctuality. Proven ability to take initiative and follow through, work both independently and in a team.Demonstrated experience in an administrative support role. Proven high level of accuracy and attention to detail, ability to manage multiple projects and effectively meet deadlines.Superior communication, both verbal and written, as well as, excellent customer service skills with the proven ability to interact with all levels of faculty and staff.Preferred Education and Experience: Experience using Workday and Access.
