Atypon Systems, Inc Office Administrator - Part Time in Hoboken, New Jersey

Our customers are companies with a focus on publishing or distributing digital content in significant volumes, including scholarly, professional, and B2B publishers, and major financial services and media providers. Founded and headquartered in Silicon Valley, we have offices across the US and Europe.

We are currently looking for a Part-Time Office Administrator for our New Jersey office.


Office Administration and Support

  • Coordinate and arrange meetings – reserve and prepare facilities including catering orders for meetings, as requested.

  • Scan receipts for expense reports and assist in filing expense reports when requested.

  • Assist with corporate travel reservations - domestic and international for all Atypon locations.

  • Human Resources - provide basic HR assistance to employees; assist with new-hire on-boarding.

  • Provide backup administrative support to corporate office as needed.

  • Manage corporate lodging to include scheduling maintenance, cleaning and scheduling employees.

  • Order, maintain and organize all office supplies and groceries for the office.

  • Maintain daily condition of conference rooms and open areas including light cleaning and tidying.

  • Maintain daily condition of kitchenette area including light cleaning and stocking of refrigerator.

  • Proactively maintain physical condition of the office by communicating with cleaning crew, building superintendent, and any other entity when work is needed.

  • Organize and maintain general office files, supply cabinet, work areas and storage areas.

  • Oversee reception area – greet guests, route visitors and calls to appropriate area or person.

  • Assist with special projects as needed.


  • Education/Experience: Undergraduate degree required with at least 2-3 years office experience working in a professional environment.

  • Computer Skills: Highly proficient in Microsoft Office, especially Word and Excel. Experience booking corporate travel is a plus.

  • Communication Skills: Excellent telephone and oral communication skills and written grammar are essential.

  • Traits and Characteristics: Attention to detail and strong organizational skills required. Must be a self-starter and team player with a positive attitude.
